Accounting/Office Assistant

As a member of the administrative team for the Chicago office you will be primarily responsible for assisting the finance team. This position will also work cross functionally with office management and Customer Service.

  • Accounts payable, accounts receivable
  •  Filing
  • Collect create and maintain all customer PO’s, utilize to verify pricing on all invoices
  • Send out Invoices, prepare checks to be signed
  • Troubleshoot any Accounts Payable aging issues with suppliers
  • Analyze discrepancies
  • Perform any necessary account reconciliations
  • Manage Accounts Receivable through active delegation and direct customer contact
  • Ability to create and update complex Excel spreadsheets
  • Assist Sr. Accounting Admin with AR/AP and special accounting projects as needed
  • Maintains a filing system for the needs of the CFO and Sr. Accounting Admin, and ensures security and confidentiality of all files
  • Daily maintenance of multiple spreadsheets for different financial reports within Excel
  • Communicate promptly with other departments, customers, and suppliers

Customer Service: provide support, offering relief for CSR while they are away from office

  • Assist Customer Service, collecting information, resolving challenges, filing and shipping
  • Organize trucking, complete sales orders and communication with the manufacturing for shipping/receiving
  • Communicate promptly with other departments, customers, and suppliers

General Office: provide assistance while Executive Assistant is away from office

  • Assist EA with reception and scheduling
  • Serve as an interdepartmental liaison for customer and employee inquiries
  • Maintain a clean, organized office environment


  1. Associate’s degree; preferably Bachelor’s with a focus in Accounting or Finance
  2. 2+ years within an administrative position, preferably accounting related
  3. Experienced in inventory management
  4. Must be efficient in Microsoft Office application
  5. Advanced Excel Skills
  6. Excellent time management skills and ability to multi-task effectively
  7. Ability to represent company in a professional manner
  8. Strong attention to detail
  9. Must be self-motivated, dependable, and a team player
